Schedules appointments, manages calendars and otherwise relieves senior level executives of clerical work, administration, and business detail by performing the following duties:


  • Manages executive’s calendar and independently schedules appointments.
  • Screens incoming calls and correspondence and responds independently when possible.  Arranges conference calls.
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
  • May provide support for complex projects such as agency acquisitions.
  • Acts as custodian of executive documents and records.  Coordinates attendance and expense reporting activities.
  • Composes and prepares confidential correspondence, reports, and other complex documents. Makes copies of correspondence or other printed materials.
  • Creates and maintains database and spreadsheet files for sales activity.  Creates graphs, charts and Powerpoints supporting business needs.  (High knowledge of Microsoft Office (mostly Word, Exel and Poerpoint) is critical here.)
  • Arranges and coordinates travel schedules and reservations.
  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
  • Prepares outgoing mail and correspondence, including e-mail and faxes.
  • Orders and maintains supplies, and arranges for equipment maintenance.

Job Requirements

Education and Experience 
Bachelor's degree (B. A.) from four-year college or university; and two or more years related experience and/or training; or equivalent combination of education and experience.

  •        Personable friendly approach to colleagues and business contacts to represent the executive office in a positive and approachable manner.
  •        Very strong Microsoft office skills especially around Excel and Powerpoint. 
  •        Strong written/oral communication skills; Strong group presentation and facilitation skills
  •        Strong collaboration skills; Ability to assess situations and problem solve with sound decision making skills
  •        Ability to build strong relationships; coach and influence others; ability to work with many different personalities and levels of employees
  •        Strong organizational and project management skills; Dedicated, resourceful, persistent
  •        Proficiency in Microsoft Word, Excel and PowerPoint with strong general computer and basic understanding of Internet applications (See above for Excel and Powerpoint.)
