Responsibilities include, but are not limited to the following:

This position is responsible for operation of a PC-based digital communications system, answering incoming calls and directing callers to appropriate departments or personnel. Also performs other administrative support functions to support our client’s needs.  The role of Receptionist is primarily self-directed, requiring low-to-moderate level problem solving capabilities and the ability to independently communicate to both internal and external customers in a professional manner. 

Major responsibilities include the following:
  • Answers incoming telephone calls, determines purpose of calls, and forwards calls to appropriate personnel or department.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answers questions about organization and provides callers with address, directions, business hours and other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel, monitors visitor access, maintains visitor log book, and issues passes when required.
  • Updates conference room calendars, receives, sorts, and routes mail and publications, and receives office supplies and packages.
  • May pick up mail from local Post Office periodically.
  • Performs clerical duties for other departments as needed, such as filing, photocopying, and collating, assists mail department functions of sorting and distribution of incoming mail and collection and posting of outgoing mail.  May perform some basic data entry for insurance certificates.

Job Requirements

Education and Experience:
  • High school diploma or general education degree (GED)
  • One year of related experience and/or training; or equivalent combination of education and experience.


  • Strong oral communication skills.
  • Ability to assess situations and resolve with sound decision making skills
  • Ability to work with many different personalities and levels of callers
  • Proficiency in Microsoft Word, Excel with general computer proficiency and basic understanding of Internet applications
  • Ability to recognize issues with automated call system, resolving simple display issues and succinctly reporting more 
  • Valid drivers license required
  • Must be able to lift up to 25lbs
