This position will support the management, execution and inter-departmental coordination of Document Production projects. These projects include but are not limited to Statement Print and Production as well as Document Imaging production and archiving. Responsibilities will include technical support as well as policy and workflow definition specific to business-critical document retention and archival practices.  This position will report to the VP of Document Management.

Responsibilities include, but are not limited to the following:

  • Initiate, manage and implement projects involving our document print provider.  These projects impact the business lines and require working knowledge of the variable print production process and vendor capabilities. Projects also require representation of Eastern’s business line requirements to the print production vendor. Project tasks include document design, data mapping, evaluation, and comparison of test output to requirements.
  • Participate in project meetings to collect document requirements and help guide teams to achieve project goals while still maintaining established standards for look and feel, procedures, and efficiencies.
  • Assess and recommend improvements to the department manager specific to the administration and production of the Document Imaging Center. This requires particular focus on maintaining the integrity and management of the bank’s document archive.
  • Development of processes that reflect evolving business requirements specific to scanning, importation, indexing, and archiving of documents into Optima as utilized by the Document Imaging Center for the purpose of providing technical support and improvements.
  • Provide succession to the department manager as well as vacation coverage capability for the daily Computershare file tracking process and be able to respond to questions or concerns regarding that process.
  • Participate in inter-departmental Operations process initiatives and projects.

Job Requirements

The incumbent must be able to work directly with the department manager as well as independently, assisting with the coordination of project workflow, project documentation, and some decision-making.  Must be comfortable and confident enough to communicate and coordinate with vendor representatives (Computershare and Wausau) as well as Eastern Bank business line representatives on up to Senior Vice President in support of project goals and objectives.

  • Experience providing assistance with project management and administration
  • Must demonstrate successful communication skills working with various levels of management 
  • Excellent sense of quality control
  • Ability to learn and work within requirements and needs of vendors and internal business lines
  • Strong customer service skills to work effectively with various team members while ensuring adherence to procedure and standards
  • Must be technically inclined, and able to offer appropriate service and assistance in support of scanning equipment and applications.
  • Must have an excellent ability to review, edit and analyze text and data as represented in paper and electronic project test output.
