Procurement
  • Work with vendors to obtain contract/renewals, review pricing and identify areas of savings.  
  • Qualify vendor quotations, execute purchase orders,  and notifies vendors selected for contracts up to $25,000.  
  • Monitors department purchasing activities; escalates, discusses problems and initiate and resolve corrective measures.  
  • Verify completion of work, facilitate Facility Purchase Orders and initiate payment to vendors. 
  • Coordinate relationship  between new vendors and the Finance Dept. to ensure payment terms are correct and all proper compliance paperwork is obtained.

Contract Administration
  • Initiates research of enterprise wide facility contracts and consults with vendors to obtain contract information and compliance documentation. 
  • Obtain the correct compliance paperwork to mitigate risks
  • Process documentation, track and report contract milestones in Cobblestone database.
Cost Allocation Administration
  • Performs enterprise wide cost allocation reporting on invoices.  
  • Maintains and monitors lease payments and activities on the accounts associated to the contracts. 
  •  Monitors monthly cost savings.
General Services Administrator will perform other duties and special projects as delegated by manager.

Job Requirements

  • Bachelor degree in Business or a experience in facility management and/or purchasing with 3-5 years of experience preferred.
  • Ability to communicate across varying levels of management.
  • Basic knowledge of the principles of procurement and facilities administration.
  • Ability to organize and juggle multiple priorities; ability to communicate effectively across all levels of management with customers, landlords, co-workers, and vendors, both orally and in writing.  
  •  Ability to plan, organize and work according to priorities established schedules and deadlines.
  • Effective facilitation and personal interaction skills appropriate to achieving objectives.
  • Ability to assemble, organize and present statistical, financial or factual information derived from a variety of sources.
  • Ability to analyze administrative problems and adopt an effective course of action.
  • Ability to implement and evaluate new and/or revised methods, procedures and performance standards.
  • Ability to exercise judgment and discretion in implementing and interpreting departmental policies and procedures.

  • Ability to learn Cobblestone/Contract Insight, Optima and Oracle databases.  
  • Experience with Microsoft office products such as Word and Excel.
