Project Coordination: 

  • The APM will assist in the planning of projects, budgets, schedules, procedures, and vendor requirements.
  • Maintain project reports including Microsoft Project, Excel or any other reports required.
  • Confer with Project Manager to outline work plan and to assign duties, responsibilities and project scope.
  • Gather project data and maintain project schedules.
  • Schedule move coordination meetings with internal customers and insure client requirements are implemented as documented in the project plan.
  • The APM will work independently while performing in a professional manner, appearance and attitude.
  • Attend MAC (move/add/change) meetings on a biweekly basis. Facilitate weekly project meetings.
Project Administration:
  • The APM will maintain and update project plans as needed. 
  • Administer work orders, purchase orders and service requests as necessary. 
  • Assist in the inspection at post move occupancy and develop punch list. 
  • Assist in the development of RFP’s and in the review of subcontractor proposals.
Space Planning:
  • Assist PM in the maintenance of the CAFM database system and the quality of the related data.
  • Deport all changes in department space allocations to PM on a monthly basis.
  • Assist the PM with furniture design and layout per project plan.
  • Assist in the administration of purchase orders related to furniture orders as well as keeping accurate inventory of Eastern stored furniture and artwork.

Job Requirements

  • Extensive knowledge of the principles of project management and related technology and processes
  • Advanced knowledge of the principles of planning and organization
  • Skill in using a personal computer, data management, spreadsheet and work processing software in performing duties
  • Ability to plan, organize establish and execute priorities; ability to communicate effectively with customers, contractors, tenants, coworkers, vendors both orally and in writing.
